COLOURSTRINGS CONSERVATORY OF MUSIC
BOOKING POLICY FOR 129 EAST 8TH AVE, ONLINE CLASSES & CAMPS.

  1. CLASSES CAN’T BEGIN WITHOUT RECEIVING A PAYMENT FIRST
  2. CANCELATION FEE IS $50, UP UNTIL 72 HOURS BEFORE THE TERM BEGINS ONLY
  3. BASIC ADMIN FEE IS $25
  4. CLASS SWITCH IS $15 - NOT AVAILABLE FOR IN SCHOOL LESSONS DURING A PANDEMIC
  5. NO REFUNDS OR CREDITS
  6. ONLINE CLASSES ARE AVAILABLE DURING A PANDEMIC FOR CLASSES MISSED WITHIN REASON 

REGISTRATIONS / PAYMENTS / CLASS SWITCHES

Please be absolutely sure that the day & time works with your schedule, as the classes sell out very quickly & no refunds are given. An admin fee of $50 will be applied for all cancellations and special requests to the administrator. Not being able to switch class once the program has started does not allow for a refund.

Please do not book a class if you are waiting to hear from a day care or another program. Only register if you are going to be attending, as we hold your place, you will be charged in full. Payment must be received to guarantee attendance.

Once you have filled in the registration form and have agreed to the booking policy terms and conditions, and completed payment, your space is confirmed & your account will be billed. Your receipt will appear on the screen as soon as you check out, and a copy emailed to you. (check your junk mail please).

Once you are registered there is a $15 admin fee for class changes.
*THERE ARE NO CLASS CHANGES DURING THIS TIME *

Fill in the CLASS SWITCH FORM in the Music & Movement section of the website to request a switch, this is not guaranteed due to availability, and we cannot refund if this is not possible to switch. See cancellation and withdrawal from the program. 

RETURNING STUDENTS PRIORITY REGISTRATION

If you have enrolled in the previous Colourstrings session, (WINTER, SPRING, FALL) you will get priority for the next immediate session only.

Please do not register as priority unless you are continuing from the previous session, you will be charged a $50 processing fee, and have to re-register at the correct time.

Summer sessions: are open to ALL new registrations and are optional for returning students. We run a shorter 6-7 week program, this does not give you priority for the Fall Session - see above.

New Students, please wait until priority registration has finished to register as a new student for Music & Movement.

BEFORE SESSION STARTS 

You can only cancel a session 72 hours prior to the ‘first class’ of the session start date, A $50 ADMIN FEE WILL BE CHARGED to cover reversal of payments and admin fess. Please submit request in writing Once the session has begun you cannot cancel your registration, as we have held your place. You can choose to withdraw, see below.

CANCELLATION BY THE SCHOOL - NON - COVID RELATED

Should the school require ‘to cancel’ any course, due to low enrolment or circumstances out-with our control, all students will be notified in advance, credits or other classes will be offered first and then full refunds will be issued if required.

COVID-19 POLICY & WAIVER INCLUDING SICK DIRECTIVES

Do not attend the school if you, you child, siblings or any close members of your bubble are showing any symptoms. No exceptions.  Take the 14 days at home online lessons until all coughs, sneezing, temperatures have gone.

If you have travelled out-with any recommended areas, or abroad, please do not attend for 14 days, and use the online classes.

We promise to maintain social distancing and cleaning practises at all times.

If our teachers show any symptoms we will switch to online classes for 14 days min.

No credits or refunds will be given, as we have online back up classes to accommodate this.

Classes sizes are limited to 6 students, with parent drop off if they are 3 yrs and over.

No waiting in the school please. Washrooms are for students only in emergencies.

There will be signs and directions posted at the school, also in the drop down menu of the school policies, please familiarize yourself with our “COVID ATTENDING THE SCHOOL”

Student / Parent Agreement : COVID-19  - I agree to follow all health and safety policies that are implemented by the school. This includes, but is not limited to access to our building, wearing of masks and use of PPE. Hand washing, following our guidelines for attend classes. No exceptions. You agree to waive all liability with regards to Covid19 by recognizing that we are running with full protocols, and you have registered for lessons with this knowledge. 

SICK DAYS, VACATION, MISSED CLASSES, ACT OF GOD CLAUSE INCLUDING GOVERNMENT DIRECTIVES, NATURAL AND ECONOMIC DISASTERS

There are no refunds or make up classes given for missed classes, for example : due to work schedules, traffic, bad weather conditions, natural disasters, vacation time or sick days, acts of god.

This also applies to major events out-with our control, Weather Conditions, health issues, pandemics, natural disasters, and announcements from the Health Ministry or Governments to close or change work practices.

What happens if there is a Lockdown or we are unable to operate safely in the school.

In the event of the school being forced to close due to any of the above, we will automatically switch to online classes for everybody. No exceptions, no refunds or credits will be given.

Online classes will be available for make up during a pandemic.

If the teacher is sick or bad weather (snow day) - we will try to accommodate, stand- in teachers, transfers to other classes, only if the schedule and availability allows the transfer. However we cannot guarantee any transfers due to limited spaces. We will do our best to offer a make up class, but it's not guaranteed. No refunds will be given for classes missed due to bad weather conditions. We are normally open on snow days unless extreme school closures have occurred.

(does not apply during a pandemic) If you are on an extended leave, we will only consider pro-rating classes if you are missing more than half of the session. Please request in writing. Non-registered children can not take the class in the place of a student. This does not include COVID related lockdowns.

INSTRUMENTAL AND CHOIR

WITHDRAWAL OF STUDENT

A 14 day written request is required to withdraw a student from our program, no refunds or credits are given for the withdrawal of a student. Please no texts or voicemails. Email : admin@colourstringsvan.com

MEDICAL - NON-COVID

We understand that extraordinary or medical circumstances do occur, please submit in writing & medical documentation for consideration of a credit. If you withdraw from the program you will not have priority for the following session. If a credit note is given, it must be used within 1 year of issue & will not be transferred to another family or a refund. 

DISCOUNTS

Receive $15 off when you register two siblings from the same family in the music and movement program at the east 8th location only. Instrumental lessons do not apply, type in ‘SIBLING’ in the discount box at the checkout page. Check website and social media for any other promotions. 

GENERAL PROGRAM INFORMATION

Classes are grouped by age & musical levels:

Your child should be the age of the class you are registering for at the start of the academic year (September). Example: if your child turned 3 in September, register for the 3-4 year old class as our classes take into account entire development of each child (musical, physical, intellectual, social, emotional).

You will have to complete 3 sessions for the age and music level you are registered in, unless the teacher has specified that you are able to progress.

Non-enrolled siblings and family: Due to limited class sizes, classes can only accommodate non-enrolled siblings when the sibling is under 10 months and contented in a car seat or old enough to read in the corner. This is your special time to spend with your toddler. Please let us know if you are planning to bring a younger sibling when registering so that we can keep track of numbers. Please be respectful to other students and limit the number of family members in the classroom area. This includes online. *EXTRA SIBLING ATTENDING IS NOT AVAILABLE DURING A PANDEMIC*

Release of Liability: As the legal parent or guardian, I release Colourstrings Conservatory of Music, its owners, operators from any and all liability, claims, demands, and causes of action whatsoever, arising out of or related to any loss, damage, or injury, including death, that may be sustained by the participant and/or the parent or guardian, while in or upon the premises or any premises under the control and supervision of Colourstrings Conservatory teachers, owners and operators. Including any Covid19 related claims.

Medical Emergency: I hereby allow any Colourstrings representative to seek and/or administer medical aid, with no liability & under the Good Samaritan act of Canada, in the event of a medical emergency, also that I have declared all learning, medical and all other information about the health of the student upon registration, and understand that I have given full disclosure regarding any Covid related symptoms or incidents.

Student Media Release: I understand that classes will be security monitored and filmed, and used in an online format for education classes and teacher training only.

We will ask for permission for the representatives of Colourstrings Conservatory of Music to use my child’s, image, student work, and performance to be photographed, filmed, audio- taped or videotaped for the purpose of being published or used on social media, on television or radio. Forms will be made available at the time for any advertising or social media posts.

Agreement: I have read & understand the above sections of the Booking Policy & Media release and have filled in the registration form with the correct information. These policies are automatically adopted when you register and attend the school, or as a visitor.
